The CareMaster NDIS software offers three types of monthly licenses for businesses:

The Administrator License; Support Worker License and the Particpant License. The Administrator license is geared towards business management, while the worker license focuses on Participant management. Both licenses are required for a complete end-to-end solution. Support coordination businesses typically require only the administration license, while NDIS service Providers with frontline workers need both. CareMaster recommends a one-to-four ratio of administration to worker licenses for effective coordination of workers, although this may vary depending on the business requirements and model. Once a business schedules a free demonstration of the CareMaster NDIS software, a member of the onboarding team will guide them in making an informed decision about which licenses are best suited to their needs.

The CareMaster NDIS Software Licence comes in three options: Administrator Licences for Administrators
to manage coordinating NDIS Support Workers and Participants.

Monthly Licences Costs

The licenses for CareMasters are billed on a monthly basis and can be terminated at any time. Each license is valid for one month, and if terminated, access to the NDIS software will cease at the end of the current billing cycle, following notification from the business. The CareMaster NDIS software employs concurrent licensing, which enables businesses to utilise fewer licenses than the number of workers or Administrators they employ. This flexibility allows businesses to save costs when not all their staff are working full-time. Additionally, Administrator licenses can “boot off” inactive users to free up a license for others to use. The CareMaster Administrator browser portal provides real-time visibility to manage licenses effectively.

NDIS Software – Administrator Web-Browser Licence

The CareMaster NDIS Administrator license is the highest level of license available, utilised by business owners, managers, Support Coordinators, and Administrators. It provides the highest level of accountability and control. Depending on the size and complexity of the services provided.

NDIS Software – FrontLine Worker App Licence

The CareMaster NDIS worker license facilitates the connection between businesses and front-line workers who use the worker app, which is part of the CareMaster NDIS software suite, to deliver services. The worker app within the NDIS software provides NDIS Support Workers with essential tools to manage participants, including the ability to report all actions, notes, arrival times, incidents, document sharing, and adjust personal rosters and availability, among other features. Additionally, the worker app is seamlessly integrated with the Administrator browser, ensuring that all information is current and readily available in real-time.

NDIS Software – Participant App Licence

The integration of the Participant App within the CareMaster software ecosystem enhances the overall experience for users. Specifically designed for Participants, this app provides a comprehensive set of functionalities that cater to their specific needs. Participants can effectively communicate with their Providers, ensuring clear and efficient information exchange. The app also facilitates plan management through features such as document control, scheduling, and personal detail management.

By incorporating the Participant App, CareMaster enables a seamless and comprehensive NDIS management process. Participants can actively participate in managing their support plans, eliminating the need for cumbersome communication methods like emails and phone calls. This streamlined approach not only saves time but also reduces management costs associated with traditional communication channels. Participants gain greater control over their support plans, resulting in an improved experience and enhanced overall outcomes.

NDIS Software Training Packages

CareMaster provides four different training packages that are tailored to suit businesses of various sizes and complexities who wish to utilise the CareMaster NDIS software. However, larger businesses may opt to designate a training professional within their organisation to undergo the training and train others internally. Our dedicated CareMaster trainers perform the training, which can be conducted either in groups or one-on-one, depending on the business requirements and feasibility. The training packages, which vary in price and cover different topics, are designed to support businesses during their transition to CareMaster. Although not mandatory, it is highly recommended that businesses undergo training at least at a basic level to get started. Moreover, training can be requested at any time and may be required for new staff. For further details on training packages and NDIS software licenses, please refer to our training page.

Additional NDIS Software Training

CareMaster provides additional training options for clients who wish to update their skills, onboard new or existing staff, or extend their knowledge of the CareMaster NDIS software. This training can be delivered to individuals or groups at a low hourly rate, and it is conducted online with training manuals and screen recordings provided for future reference. The training can cover multiple topics or focus on specific features and areas of the CareMaster NDIS software in greater detail. Hourly rates for this additional training can be found on our Pricing Page or by clicking here

Pricing FAQ

How do I sign up with CareMaster?

Clients may be required to purchase an onboarding package in order to initiate the setup process, which is a non-recurring expense. Please refer to the pricing page or click here to determine a package that aligns with your team’s requirements. Following the attainment of software accessibility, you will be responsible for remitting the monthly subscription fee as per the quoted amount.

What makes up my monthly subscription?

The expense is determined by the number of user licenses that you opt for.

Is the monthly subscription cost flexible?

In the absence of any modifications, the monthly subscription cost remains unchanged. However, if you choose to increase or decrease the number of licenses and/or options, the cost will be adjusted accordingly to align with your request.

Does every employee need a user license?

Negative. CareMaster licenses operate on a “concurrent” basis, wherein a single license is consumed when an employee logs in, and released when the employee logs out. Therefore, despite multiple users accessing the software with a single license, the payment is incurred only once.

How many licenses should I purchase?

It is recommended to acquire a single web portal license for office-based personnel who require uninterrupted access to CareMaster, such as Managers, Roster/Schedulers, Support Coordinators, among others. For Support Workers who use the mobile application, it is advisable to assess the maximum number of workers operating during your busiest shift. For instance, if you have ten workers, but only five work at any given time, you will require five licenses to ensure smooth operation.

Does CareMaster charge more per licence with every feature added?

When it comes to the NDIS software, CareMaster is always working to make it better by adding new features every week. Sometimes these features are made for specific NDIS Providers or based on feedback from our clients. But don’t worry, all these new features won’t cost you a dollar extra! We’ll let you know about them through email updates, and even show you how they work with demo videos in some cases.

Dedicated Account Managers

At CareMaster, we understand the difficulties that can arise when implementing new NDIS software and the importance of effective change management. Therefore, we strive to support your business in various ways. Our approach begins with clear and concise direction, which is reinforced by a dedicated account management representative. Our training is tailored to meet the needs of users with limited experience and throughout the design phases of our NDIS software, we prioritise an intuitive user experience to ensure optimal outcomes for our clients.

We are committed to ensuring that our clients derive maximum value from our NDIS software, and we offer a variety of training solutions that address key areas such as rostering, payroll, and invoicing, even for those with limited experience. Our team is always available to provide assistance and support when required. CareMaster’s account managers, NDIS software trainers, and support staff are available from 8 am to 5 pm, Monday to Friday. In the event of an emergency, we also offer a contact avenue during weekends and public holidays.

NDIS Auditing

Every action has an opposite and equal reaction.

The CareMaster NDIS software is founded on the principle of auditing, which is often a challenging and time-consuming aspect of business operations. However, with CareMaster, auditing is made effortless through a simple “click-click-send” process. The software captures all necessary elements for an NDIS audit and allows for easy extraction of data to be supplied to external third-party auditors. Our auditing management software is integrated with our reporting functionality to ensure a thorough and robust process that eliminates the need for back-and-forth communication with auditors. Once the extraction of files is completed, which takes just minutes, they can be supplied to auditors, and you can return to focusing on your business operations.

Thus far, the CareMaster NDIS software has facilitated hundreds of audits, with the majority requiring little to no back-and-forth communication with auditors post-data extraction. All audit data is provided in various file types, including .csv files, for ease of use, and covers all audit types and their requirements. If you are interested in learning more about our compliance and auditing capabilities, we welcome you to schedule a demo with our team.

Software Integrations

At CareMaster, we understand that every business has different NDIS software needs. Therefore, we have developed a robust integration process that enables your business to utilise software outside of the NDIS management space that meets your specific requirements.

One of the most common integrations is with accounting software. To that end, the CareMaster NDIS software is not only integrated but also strongly supported by leading accounting software such as Xero, Myob, and Quickbooks. The integration process is fast, easy, and if necessary, the CareMaster team can manage the process for your business during the onboarding process.

Software integrations in the accounting space provide a wide range of functionalities, including managing multiple invoices, time sheets (with award interpretation), allowances (such as travel costs), leave and much more. These processes are then reconciled with your accounting software and bank accounts. The two-way integration of both CareMaster and the accounting software working together ensures that the details are updated in CareMaster accurately. The integration allows businesses to manage multiple payments and invoices easily, accurately, and if required, in bulk.

It also supports reporting dashboards in CareMaster for quick updates and visually determining the progress of invoices in a user-friendly dashboard for payments. Timesheets are also managed in a similar way, with a visual dashboard outlining shift start and finish times, the type of service, worker name, the number of transport costs incurred, and kilometre odometer readings taken from the Support Worker App in real-time, the service cost, and if the service was recurring details of which are shared across the integrated software.

Finally, the service quantity and revenue generated are calculated. This allows the Administrator to approve timesheets quickly and accurately prior to payroll.

In conclusion, CareMaster’s robust integration process allows businesses to utilise the NDIS software that meets their specific needs outside of the NDIS management space. If you are interested in learning more about our NDIS software, please do not hesitate to contact us.
